As we step into the first week of the New Year, the traditional ritual is to look back at the past year and lock in goals. If you use Google for mail, calendar, and document storage, you’ve probably got a goldmine of insights in there.

And if you’re like me, it’s hard to make sense of all that data. I know many of you out there filter and label every email perfectly, have every document sorted into color-coded nested folders, and ensure each calendar event has a linked agenda complete with notes and action items. I’m not quite there yet, but I am working on automations that will get me closer to your data nirvana. Even if you’re one of those enlightened few, it’s probably still too much information to wrap your head around when planning for the new year.

This year, consider a different approach.

The Palantir Level of Insight

If you follow the world of high-stakes technology, you’ve likely heard of a company called Palantir. Over the last few years, they have become the world's most important name in "data fusion."

Palantir’s AI Platform is hired by governments and Fortune 500 companies to find the "hidden connections" between messy, unrelated information. They are the ones who help agencies track complex supply chains or assist global banks in cybersecurity threat patterns that no human could see. The cost of this kind of "God-mode" oversight? For a corporation, it typically starts in the millions of dollars.

But in 2026, we’ve reached a tipping point. With the maturity of Gemini Deep Research (this overview is worth a read), the average user now has access to a "mini Palantir" for their own life and work. You no longer need a multi-million dollar contract to "fuse" your data. You just need to know what to give it and how to ask.

From Storage to Synthesis

Google Workspace does a great job of securely storing and indexing all of your information, and now Gemini 3.0 with Deep Research can reason across your entire account data. It doesn't just summarize your files, it synthesizes your Gmail, Docs, Chat, and Calendar into a single story, potentially revealing hidden insights.

It can see that the three "coffee chats" you had in March (Calendar) were the actual origin points for a strategy memo you drafted in August (Docs), which ultimately secured the contract renewal you celebrated in December (Gmail). Once a user sees the "red thread" (Coffee Chat —📌— Memo —📌— Revenue), they can stop guessing what works. They can look at the patterns of their most successful outcomes and intentionally replicate that specific workflow for other prospects.

To get a true high-level view of your 2025, I recommend running a Deep Research report. While others are summarizing documents, you’re identifying the "red threads" that often get lost in the daily grind. No AI model like Gemini and ChatGPT produces the perfect result after a single prompt all of the time, but this method is likely to reveal powerful insights. 

How to run your Retrospective Report:

1. Open Gemini and ensure your Google Workspace extension is active.

2. Select the Deep Research tool (enable the "Thinking" or "Pro" model).

3. Under sources, select the data you want included (Drive, Calendar, Gmail, Chat).

4. Attach any data sets including accounting reports or bank statements that might not live in your Google account (Files).

5. Use a prompt that focuses on cross-app connections.

Steal and Modify this Prompt:

Analyze my Google Workspace data (Gmail, Docs, Calendar, Chat, and Drive) from January 2025 through December 2025. Act as a Senior Strategic Advisor.

The Energy Map: Based on my Google Calendar, and Email volume, where did I spend the most 'mental bandwidth' this year? Does this align with my most successful project outcomes found in Drive?

Identify Core Themes: What were the 3 recurring challenges that appeared in my informal chats and emails that were never fully addressed in my formal project documents?

The 2026 Pivot: Based on the patterns of success and the gaps in my focus you've identified, what is one 'blind spot' I should prioritize in my goals for the coming year?

Deliver this as a high-level executive summary focusing on strategic insights.

Hearing the Big Picture

One of the most powerful ways to consume this insight is through the Audio Overview feature. Once Gemini generates your report, you can turn it into a short, conversational briefing.

Listening to two AI analysts discuss your year while you take your morning walk provides an "out-of-body" clarity. It moves the data from a screen to a story, making it much easier to decide which habits to let go in 2025 and which deserve locked-in focus for 2026.
